Spring is in the air! While it seems like Mother Nature can’t quite make up her mind just yet, the calendar doesn’t lie. The seasons have definitely changed and it’s time to get moving with your outdoor party planning! Spring formals and proms, graduations and first communions. Create a Guest List
The first step in getting organized is to determine the size of your party. Create a guest list noting the number of children and adults. This will help you when planning your meal, making seating arrangements, and in deciding what type of entertainment or fun activities you may want to have at your party. As well, should you plan to have a tent for your party, providing us with a guest count will allow us to select the best tent size for you! Renting the maximum number of tables and chairs ahead of time is also highly recommended so you will be sure to have exactly what you need come party time.
Make a Menu
Once you know the size of your party, you’ll want to decide on a menu. If you’re celebrating a first communion or baptism, perhaps an after church brunch is best. If it’s a graduation party, perhaps a formal sit down dinner will suit your fancy. If you’re hosting your son or daughter’s prom party, maybe you will want to plan a late night “snack bar” stocked full of finger foods. Choosing the right kind of food for your party is a large part of the planning. Consider things like dietary restrictions, kid-friendly options and of course your budget. Do you want to get your party catered or do you prefer to cook? Be prepared ahead of time, rent any dishware or food service items you may need. Make sure you have adequate space to lay the food out or for your caterer to prepare your meal. If you need extra tables or even a small catering tent, we can help!
Decide on a “Plan B”
When your party day finally arrives, if you don’t wake up to the sunshine you had envisioned, having a Plan B to fall back on is of the utmost importance. While we all hope for gorgeous weather when planning an outdoor event, unfortunately this is one thing we cannot control. Being prepared for a rainy day is certainly the best choice, even if not your first choice. Do you have space in your home to welcome your guests indoors? If so, make sure you have the same plans as you would for outside. Where will your food go? Do you have ample seating? If you don’t have enough space indoors, renting a tent is a great solution. If you are blessed with sunshine a tent will provide some shade for your guests. If it rains, you will have shelter. Tents come with removable sidewalls, so you can completely enclose them if needed.
